Privacy Policy

Everything you send us is held in confidence. This page says exactly what that means: what we hold, why we hold it, who else touches it, and how to have it removed.

I

Who we are

Ascante is a creator management agency. We represent a small roster of creators and we run the team that works their accounts. This policy covers ascante.com, the application forms on it, and the internal portal our staff sign in to.

Ascante is the controller of the information described here. If you want to reach a person about any of it, write to hello@ascante.com and a person will answer.

II

Who this applies to

Four groups, and what we hold differs sharply between them. Read the one you belong to.

Visitors
You read the site and send us nothing. We hold almost nothing about you.
Creators applying
You filled in the application for representation. We hold your answers while we decide.
People applying to work
You applied to the chat team. That form asks for more, because the work is judged on more.
Creators we represent
You signed with us. We hold what running your account requires.

Staff accounts on the internal portal are covered too, in Article VI.

What you give us when you apply for representation

The application asks ten questions. You choose what to answer, and a half-finished form still reaches us.

  • Your name and email address, which are the two we need to reply at all.
  • A messenger handle, if you give one.
  • Links to the pages you run.
  • Banded answers on how long you have been at it, roughly how large your audience is, and roughly what you earn. These are ranges you pick, never figures you type.
  • What is already handled for you, and whether anyone represents you today.
  • What you want out of this, and anything else you choose to tell us.

We do not ask for identity documents, banking details or content at the application stage, and you should not send them. If we accept you, what we need after that is set out in the agreement you sign, not here.

What you give us when you apply to work here

The chat team application asks for more than the creator one, because a hiring decision turns on evidence rather than on a claim. All of it is held to review your application.

  • Your name, email address and Discord handle, since Discord is where the team actually works.
  • Your country, your time zone and your UTC offset at the moment you submitted, which is how a roster gets built across daylight.
  • The shifts and hours you can cover.
  • Your experience, how long you have been doing it, which tools you have used, which agencies you have worked with, and the languages you write in.
  • Your answer on comfort with explicit material. We ask it plainly, once, and record the answer.
  • Confirmation that you are over 18. We do not create a record for anyone who tells us otherwise.
  • A photograph of your desk, which you upload.
  • Two written work samples.
  • Your typing trial: speed, accuracy, how long it took, how many attempts you made, and the text you actually typed. We recompute every figure on our own server rather than trusting what the browser reports, and we note if a paste was blocked during the trial.
  • A connection check: download speed, upload speed and latency, measured at the time you took it.

The desk photograph is stored with our file storage provider and is reachable by URL. Take a photograph of a desk, not of a room you would not show a stranger.

What we hold about creators we represent

Once you are on the roster, the work itself produces information about your account. We hold what running it requires and no more.

  • Your contact details and the details of the manager assigned to you.
  • Performance figures for your account, including messages sent, conversations held, fans converted, and revenue.
  • Statistics from the social accounts you ask us to work on, which we retrieve through third party data services rather than by holding your passwords.
  • Notification preferences, and a record of notifications we sent you.

Your account credentials belong to you. Anything you hand us to do the work is held in confidence and is governed by the agreement between us, which overrides anything in this policy that conflicts with it.

Staff accounts

If you work here and use the internal portal, we hold your name, your work email, a hashed version of your password, your avatar if you set one, when you last signed in, and a record of what your account did in the portal. Passwords are stored hashed, so nobody at Ascante can read yours.

If you connect Discord to your account, we hold the account identifier Discord returns so the two can be matched. We never receive your Discord password.

VII

What we collect automatically

Less than most sites. There is no advertising pixel on ascante.com, no analytics suite, and no third party tracker following you between pages.

  • Server logs, which record requests to the site, including IP address, browser and time. These exist so the site can be kept up and abuse can be traced.
  • A sign-in cookie, set only after you sign in to the staff portal. It is strictly necessary, it is not used to profile anyone, and no cookie banner is needed for it.
  • The connection check on the chat team application, which measures your connection while you are taking it. It runs because you started that form, not in the background.

Why we hold it

To answer you
You applied, and we said you would hear back either way. That requires keeping what you sent until we have replied.
To decide
Reviewing an application against the roster is the purpose the answers were given for.
To do the work
Managing an account, paying people, scheduling shifts, and reporting on results.
To keep it safe
Preventing fraud and abuse, and keeping the service running.
Because we must
Tax, accounting and other legal obligations.

If you are in the UK or the EU, our legal bases are: performing a contract with you, or taking steps before one at your request; our legitimate interests in assessing applications, running the agency and protecting it; your consent where you chose to send us something we did not ask for; and compliance with legal obligations.

We do not sell your information, we do not share it for cross context behavioural advertising, and we do not make automated decisions with legal effect about you. Every application is read by a person.

IX

Who else handles it

We use a short list of service providers, each contracted to process information only on our instructions.

Supabase
File storage, including the desk photographs.
Resend
Sending email, including our replies.
Stripe
Payment processing for agency subscriptions. Card details go to Stripe and never reach our servers.
Discord
Where the team works, and an optional sign-in method for staff.
Apify and EulerStream
Retrieving public social statistics for the accounts we manage.

Our own database runs on servers we control rather than at a third party. Beyond the providers above, we disclose information only where the law requires it, or to professional advisers under a duty of confidence.

Where it is held

We operate from the United States and information is processed there. If you are applying from the UK, the EU or elsewhere, your information is transferred to the United States. Where that transfer needs a safeguard, our providers are engaged on the standard contractual clauses or an equivalent mechanism.

XI

How long we keep it

Applications declined
Kept for up to twelve months, so we can recognise you if you come back and so we can answer a question about the decision. Ask us and we will delete it sooner.
Applications accepted
Kept for the life of the relationship, then under the retention terms of your agreement.
Work samples and trials
Deleted with the application they belong to. The desk photograph goes with it.
Staff accounts
Kept while the account is active, then for as long as employment and tax records require.
Server logs
Held for a short operational period, then discarded.
XII

Your rights

Whoever and wherever you are, you can ask us for a copy of what we hold about you, ask us to correct it, or ask us to delete it. Write to hello@ascante.com. We will answer within 30 days, and we will not charge you or treat you differently for asking.

If you are in the UK or the EU, you also have the right to restrict or object to processing, the right to receive your information in a portable format, and the right to withdraw consent at any time without affecting what was done before. You can complain to your supervisory authority, which in the UK is the Information Commissioner's Office.

If you are in California or another US state with a privacy statute, you have the right to know what we collect, the right to delete it, the right to correct it, and the right to opt out of sale or sharing. We do not sell or share your information, so the last one has nothing to act on, and we will confirm that to you in writing if you ask.

We may need to confirm who you are before we act, which usually means replying from the address you applied with.

XIII

Security

Traffic to the site is encrypted. Passwords are hashed. Access to applications and account data is limited to the people who need it to do their job, and staff accounts carry defined permissions rather than blanket access.

No system is beyond reach, and we will not claim otherwise. If a breach affects you, we will tell you and the relevant regulator within the time the law allows.

XIV

Age

This site and this business are for adults. You must be 18 or older to apply, to work with us, or to be represented by us. We do not knowingly collect anything from anyone under 18, and if we learn that we have, we delete it.

XV

Changes

If this policy changes, the effective date at the top changes with it. If a change materially affects how we use what you already sent us, we will email you at the address we hold rather than relying on you to check the page.
